Asset: Administration of Scheduled Service & Equipment Tracking (PDF 285Kb)

Business Challenge: Replace inconsistent, often difficult to read, hand written inspection forms. Cut clerical costs and eliminate delays delivering paperwork . Provide secure document archive to reduce management effort and ensure compliance. Solution: ASSET employs InfoRoute Web based FormFlow technology to create a managed collaborative service for mobile engineers, service workshops, equipment operators and facilities managers to work together across the Internet. With just a PC and Broadband Internet access authorised users can schedule inspections and servicing, document inspections and work done and view completed documents.

Secure ASSET Processes

To book work ASSET ADMINISTRATOR generates automatic email requests based on inspection schedules determined for each asset in the database. Administrators confirm dates agreed with asset operators. Inspection and service work is logged in ASSET WORKSHOP according to a process defined for individual or types of asset. Electronic inspection forms guide technicians to complete fields correctly with drop down lists ensuring consistent, structured data for powerful analysis.

Work is signed off as it is completed. ASSET WORKFLOW routes jobs for repairs and final sign off. At each stage documents are locked to prevent subsequent alteration. Once approved ASSET DOCUMENTS are locked and emailed automatically as PDF documents to recipients. Authorised users can view archived inspections using INFOROUTE VISION on the Web.

ASSET FORM DESIGNER creates and edits inspection forms either to replicate existing manual forms or to develop new processes.. Forms can be divided into sections, each made up of separate items. Items can be set as simple yes/no checklists or data can be captured. Responses to each item can be pre-defined in drop down lists or free type enabled. Completion of items can be set as optional or mandatory. Completed forms are held in an on line library and assigned to individual or groups of assets.
